What is a QBO file?

A QBO file is the bank transaction file QuickBooks imports through Web Connect. It's built on the OFX standard and holds each transaction's date, amount, payee and a unique ID.

Some banks offer a download labeled "QuickBooks Web Connect". When you only have PDF statements, or the months you need are no longer available as a QBO download, Ledgerpour builds a QBO file from the PDF statement instead.

How it works

How to convert a PDF bank statement to QBO and import it into QuickBooks

Ledgerpour takes you from the PDF your client sent to transactions waiting in QuickBooks, in four steps.

01

Upload the PDF bank statement to Ledgerpour

Drop in the statement downloaded from online banking. Text-based PDFs up to 25 MB.

02

Create the QBO export

Ledgerpour first converts the PDF into CSV and Excel. On the results screen, choose QBO under Accounting exports and generate the file. Creating the export uses no extra pages.

03

Download and check

Compare the transaction count and closing balance with the statement. Failed pages are refunded automatically.

04

Import into QuickBooks

QuickBooks Online: Transactions › Bank transactions › Link account ▾ › Upload from file. QuickBooks Desktop: File › Utilities › Import › Web Connect Files.

That's every transaction you don't retype. And no transposed digit to find when the reconciliation won't balance.

Online or desktop

How to import a QBO file into QuickBooks Online and Desktop

A Ledgerpour QBO file works in both. Only the menu is different.

QuickBooks Online

  • Go to Transactions › Bank transactions › Link account ▾ › Upload from file
  • Pick the QuickBooks account the statement belongs to
  • Transactions land in For review, ready to categorize and match
  • Transaction IDs help QuickBooks detect repeats. Review overlapping dates before adding transactions

QuickBooks Desktop

Pro · Premier · Enterprise

  • Go to File › Utilities › Import › Web Connect Files
  • Choose an existing account, or create one
  • Transactions appear in the Bank Feeds center to match and add
  • Needs a Desktop version Intuit still supports for Web Connect
Use cases

Why bookkeepers and accountants convert bank statements to QBO

The bank feed covers most months. Ledgerpour covers the ones it doesn't.

Catch-up and clean-up clients

A new client arrives with a year of unreconciled PDFs. The bank feed may not reach back that far.

A feed that dropped out

The connection broke for two months. Fill the gap from the statements instead of retyping them.

Year-end and tax prep

An accountant finds missing months while closing the books. Import them before the return goes out.

Clients who only send PDFs

Some clients won't share bank logins, and some banks don't connect to QuickBooks at all. Convert the statements they email you.

FAQ

Bank statement to QBO: questions answered

Is there a free PDF to QBO converter?

Yes. Ledgerpour converts your first 5 pages free, with no card needed, and those free pages include QBO export. After that, plans start at $25 a month, and you can top up with credits at $0.20 a page. Every plan is month to month.

Do I need to install anything?

No. Ledgerpour runs in your web browser, so there's nothing to download or install. Upload the PDF bank statement, download the QBO file and import it into QuickBooks Online or QuickBooks Desktop.

How can I convert a PDF to QBO format?

Upload your text-based PDF bank statement to Ledgerpour. After conversion, choose QBO under Accounting exports on the results screen, generate the file and download it. Import the QBO file into QuickBooks and review the transactions. Your first 5 pages are free, with no card needed; generating the accounting export uses no extra pages.

Can QuickBooks import a PDF bank statement directly?

It depends on the version. QuickBooks Online can now read a PDF statement you upload, as long as it is in English, and asks you to check the transactions side by side before saving. QuickBooks Desktop can’t read PDFs. It imports bank transactions as QBO (Web Connect) files, so convert the PDF to a QBO file first, then import it under File › Utilities › Import › Web Connect Files.

How do I import a QBO file into QuickBooks Online?

In QuickBooks Online, go to Transactions › Bank transactions, open the Link account ▾ menu and choose Upload from file. Select the QBO file, then pick the QuickBooks account it belongs to. The transactions land in the For review tab. Categorize or match each one, then add it to the books.

How do I import bank statements into QuickBooks Desktop?

Convert the statement to QBO first. In QuickBooks Desktop, go to File › Utilities › Import › Web Connect Files and select the file. Choose the matching QuickBooks account. The transactions appear in the Bank Feeds center, where you match and add them. Web Connect needs a Desktop version that Intuit still supports.

Should I use QBO, QFX or CSV for QuickBooks?

Choose QBO for QuickBooks Web Connect. QuickBooks Online also accepts QFX and CSV; QuickBooks Desktop uses QBO for Web Connect imports. CSV uploads require column mapping. Ledgerpour supports QBO, QFX and CSV output; use the formats available for your completed conversion.

Why won't QuickBooks accept my QBO file?

Check three things. Pick a QuickBooks account of the same type as the statement, such as a checking account for a checking statement. Don't open and resave the file in another program first. In QuickBooks Desktop, confirm your version still supports Web Connect. If a conversion fails on our side, the pages are refunded automatically.

Will importing a QBO file create duplicate transactions?

Duplicates can occur. Transaction IDs help QuickBooks identify previously imported transactions, but they do not guarantee that every duplicate will be detected. Check overlapping dates, especially when a bank feed already includes the same period, and review the imported transactions before adding them to your books.

Can I convert several bank statements to QBO at once?

Not yet. Today you upload one statement at a time and download one QBO file for it. Batch upload is coming soon, for catch-up clients who arrive with a year of PDFs.

Does Ledgerpour connect directly to QuickBooks?

No. Ledgerpour does not sign in to QuickBooks or post transactions for you. Download the QBO export and import it into the account you choose. Review and accept the imported transactions in QuickBooks before adding them to the books.

Stop retyping bank statements into QuickBooks

Convert your first 5 pages free with Ledgerpour and import the QBO file yourself. No card needed.
